Advertised Job Summary
Under the supervision of the Director of Undergraduate Medical Education (UME), provides administrative support to the Office of Undergraduate Medical Education. Works closely with the Assistant Dean for Pre-Clinical Curriculum and the Assistant Dean for Clinical Curriculum and Assessment as the primary coordinator of multiple platforms associated with medical students during the four years of pre-clinical and clinical education. Demonstrates commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations. Acts on non-compliant activities and report when necessary.
Job Related Minimum Required Education and Experience
Requires a bachelor’s degree in a job related field and 1 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Required Certification, Licensure/Other Credentials
Preferred Qualifications
Bachelor’s degree and 3 years related experience in business management, public administration, or administrative services; or equivalency.
Experience with database management and maintaining data accuracy, integrity, and reporting reliability preferred.
Familiarity with medical education and medical terminology are beneficial.
Knowledge/Skills/Abilities
Requires the ability to work with a variety of people and to meet deadlines.
Good verbal and written communication skills required.
Ability to preserve confidentiality and work with limited supervision a must.
Computer skills required, including Microsoft Office components.
Required to conduct business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations.

Coordinates with appropriate stakeholders, creates and maintains the detailed academic calendars for the medical program. Coordinates classroom and other room reservations for the medical program curriculum. Coordinates Orientation and other events for the Office of UME for first, second, and third-year medical students (M1-M3). Organizes related meetings and manages the academic class schedules for M1, M2, Graduate and Ph.D. students using the enterprise scheduling system.

Serves as the primary point-of-contact for administrative matters related to the undergraduate medical curriculum and provides ongoing support for all associated meetings. Responsibilities include coordinating room scheduling, arranging required technology support, distributing agendas and related materials, scheduling meetings with students and other stakeholders, and taking detailed minutes and attendance for curriculum committee, curriculum subcommittee, clerkship director, course and block director, and other required meetings.

Coordinates and supports the Capstone – Transition to Residency Clerkship under the direction of the Assistant Dean of Clinical Education. Under the direction of the Assistant Dean of Clinical Education, coordinates Oasis, My Clinical Exchange, and data tracking systems for medical students. Coordinates with, and supports, course directors in the preclinical curriculum as needed.
